Using LYF

Overview

The purpose of this page is to provide an overview of the actions available to users within LYF. This page assumes the user has the relevant permissions on the file share in order to execute the list actions.

Supported File Types

One of the most common tasks associated with LYF is the ability to preview a file within a session. This is a powerful tool that allows a user to view a document online  to confirm or review the content without having to save and open local copy. There are limitations to the files types that can be previewed due a number reasons. As part of our ongoing commitment to improvement we will be adding additional files types as part of our development program; if there is a specific file type you would like to see supported please contact the customer support team.

Web Interface

When accessing LYF from Chrome, FireFox, Edge or Safari you will be presented with the standard file/folder view. The standard view is made up of the following components

File/Folder View

The ‘home’ folder will be displayed when launching LYF; this is the root folder of your published file share. From here, you will be able to navigate through your folder structure and perform a number of actions on your files and folders. The view is provides basic information for your files and folder, specifically the type, size (file only) and modified date. In addition, there is a menu at the end of each row which provides access to a set of actions specific to the row or selected rows.

Sorting Fields

Each of the file/folder list columns can be sorted by clicking on the column title. You can toggle between ascending and descending.

 

Users can navigate through the file share by clicking folders, using the browser back and forward buttons or using the breadcrumb. The breadcrumb is located above the search field and provides a linear view of your location within the fileshare, clicking on each folder name will take you to the specific location. Note, the breadcrumb is not visible when in the ‘Home’ folder.

Searching

The search bar acts as a filter on the current folder. As text is entered into the field, the display is updated to show all files/folders which match the search term. Note, results from sub-folders are not displayed.

Previewing a Document

In order to preview a document, click on the document name within your file/folder list. The amount of time it takes to display the preview is dependent on a number of factors, including the size of the file, the complexity of the file (is the content image-heavy for example) as well as the available bandwidth and speed at both the NetConnect server and client side.

Once within the preview screen, you’ll be able to navigate the document and review as required. You will also have three available actions at the top of the preview; delete, download and close preview. Additionally, you’ll be able to navigate back using the breadcrumb.

In the event a file cannot be previewed, you will be presented with a message advising that the preview is not available. In this scenario, we recommend confirming the file type is supported.

Action Items

The following actions are available within Chrome, FireFox, Edge and Safari. Action items are displayed along the top right-hand side of the file/folder view.

Three Dot Menu

Additionally, the three-dot menu to the right of an individual file/folder contains actions which relate to files and folders.

Note, these actions are dependent on users having the appropriate permissions on the file share; for example, if a user has ‘read-only’ permission, they will not be able to upload, delete or move files.

Copy a file/folder
 Copy a File/Folder

When selecting a single or multiple files/folders, the ‘Copy’ option within the action menu becomes available. Once clicked, all all selected files and folders can be copied to an alternative location; click the ‘Paste’ icon once you have navigated to your chosen location. After pasting a copied file/folder, they will also remain in their original location.

The copy option is also available in the three-dot menu.

Cut a file/folder
 Cut a File/Folder

When selecting a single or multiple files/folders, the ‘Cut’ option within the action menu becomes available. Once clicked, all all selected files and folders can be moved to an alternative location. A side bar will display a list of all the files/folders which have been selected; this side bar also provides the option to remove individual files/folders from the ‘cut’ list.  Click the ‘Paste’ icon once you have navigated to your chosen location. After pasting a cut file/folder, they will be moved from the original location.

The cut option is also available in the three-dot menu.

Paste a file/folder
 Paste a File/Folder

When files and folders are copied or cut, the Paste icon becomes available. Once clicked, the copied/cut files and folders are placed in the current folder.

Delete a file/folder

When selecting a single or multiple files/folders, the ‘Delete’ option within the action menu becomes available. Once clicked, a confirmation banner will ask for confirmation before deleting the selected files and folders. Once deleted, the files and folders cannot be recovered through the LYF interface.

The copy option is also available in the three-dot menu.

Download a document
 Download a File

When selecting a file(s), the ‘Download’ option within the action menu becomes available. Once clicked, a file(s) will begin to download; once the download is prepared, a standard Windows ‘save as’ window will allow you to select a location on your local computer to save the file(s) to. The time between the clicking the download action and being presented with the ‘save as’ option varys based on the size of the file and the available bandwidth.

Please note, folders cannot be downloaded.

The copy option is also available in the three-dot menu.

Create a folder
 Create a Folder

Folders can be created within LYF by clicking on the create folder icon. Once clicked, you will be asked to name the folder. Providing the folder name does not contain characters unsupported by Windows, the folder will be created.

Uploading a document
    Upload a File

When clicking on the upload icon, users will be able to navigate to a location on their local computer and select a file to upload. Note, the speed at which the upload completes is directly related to the size of the file and the available bandwidth between the users local computer and the NetConnect server, as well as the speed between the NetConnect server and the location of the fileshare.

There is an upload size limit which will prevent files of a certain size being uploaded; this can be adjusted within the System -> General page.

As a file is uploaded, the progress is displayed to the left of the file/folder view. An upload can be cancelled at any time by clicking on the ‘x’ within the upload progress box. Once an upload is complete, the file/folder view will refresh automatically after a few moments.

Multiple file uploads and folder uploads are not currently supported. single only

Refresh
 Refresh List

In the event you wish to refresh your file/folder list, click the refresh icon.

Rename a file/folder

To rename an individual file or folder, click on the three-dot menu at the end of the file/folder row and select ‘Rename’. Once clicked, you will prompted to edit the name of the file/folder.

The rename option is only available in the three-dot menu.

Properties

To view the properties of an individual file or folder, click on the three-dot menu at the end of the file/folder row and select ‘Properties’. Once clicked, you will be presented with details relating the selected file/folder.

The properties option is only available in the three-dot menu.
